Since the implementation of Active Directory and the Exchange mail system at SU the practice has been to retain all deleted email indefinitely. This has resulted in over a terabyte of stored, deleted email, nearly 15% of all stored email. In order to make better use of system and storage resources, the Active Directory Governance Group (ADGG*) has decided that the retention practice will be changed so that deleted email will be removed from the system after 90 days. This new practice will be implemented by the Active Directory Technical Team (ADTT) starting Tuesday, May 19, 2009. The plan is to remove from the “Deleted Items” folder oldest messages first and continue until no remaining deleted email is older than 90 days. This process will take several days, and be done in a way that will not affect mail server performance. If you are using your “Deleted Items” folder as a place to store email, any email you wish to retain should be moved from the deleted items folder before May 19, 2009.
